Set up your Orders

There is a lot you can customise about your rental business option with circuly. And that is exactly the flexibility and power we want to offer you in your subscription operations. Let’s move on to the next step, that is, the Order settings.

1. Add cancellation and swap reasons

In your  circuly Operations Backend , you can specify the cancellation and swap reasons for your subscriptions and orders. These reasons will be used internally by the users of the  circuly Operations Backend  (your team) when they are processing cancellation and swap requests.

1.1 Setup instructions for cancellation reasons

To set up the cancellation reasons > Log in to your  circuly Operations Backend > Go to Settings > Order > CANCELLATION > Cancellation reasons > Click on the plus icon to add an input field > Type the cancellation reason in the input field.

To add another cancellation reason > Repeat the process.

1.2 Setup instructions for swap reasons

To set up the swap reasons > Log in to your  circuly Operations Backend  > Go to Settings > Swapping > GENERAL > Swap reasons > Click on the plus "+" icon to add an input field > Type the swap reason in the input field.

To add another swap reason > Repeat the process.

2. Specify the first Order status and Order tag

2.1 Order Status

When an order comes in, it is displayed in the Orders tab and has the status as “open” if a subscription hasnt been created yet for the new order. When a user creates a subscription for the order with the “open” status the status is updated to the status specified in the deafault setting for Order status for Subscription create input field. Possible Order status is dependent on how you set up your rental option but common Order status include delievevd (if the subscription is created when the product has already been delivered) and delivery (if the subscription us created when the order is the delivery phase and will be delivered soon).

Setup instructions

Log in to your circuly Operations Backend  > Go to Settings > Order > GENERAL > Add a status of your choice in the Order Status on subscription create input field.

2.2 Order tag

When an order comes in, it is displayed in the Orders tab and has the Tag as “delivery” if a subscription hasn't been created yet for the new order. When a user creates a subscription for the order with the “delivery” tag the tag is updated to the tag specified in the Order tag on Subscription create input field.

Setup instructions

Log in to your  circuly Operations Backend  > Go to Settings > Order > GENERAL > Enable the switch for Fulfill orders when all subscriptions are created > Then add a tag of your choice in the Order tag on subscription create input field.

Note: The Setting "Order tag on subscription create" is disabled (greyed out) if the switch for "Fulfil orders when all subscriptions are created" setting is disabled.

3. Additional order settings

3.1 Show add serial number

Enabling this setting will allow a user to add a serial number to bought products. Adding a serial number to bought products allows you to track your assets better and draw actionable insights from the collected data.

In your  circuly Operations Backend  > Go to Settings > OrdersGENERAL > Enable the switch for Show add serial number.

3.2 Tag date and time

Enable this setting if you want to display the tag date and time in the Orders tab in the Orders List. If you have multiple users working together then enabling this setting can improve internal communication within the team about common subscription operations. In your  circuly Operations Backend  > Go to Settings > OrdersGENERAL > Enable the switch for Show tag date and time.
